Thesis Management System (TMS)

The Thesis Management System (TMS) supports the organisation of thesis supervision and assessment workflows. You can use TMS to keep key thesis phases, submissions, roles and assessment steps visible in one process. This makes TMS especially useful when thesis guidance involves several people, deadlines and formal decision points.

Examples of use in your education

Use TMS when you want to explain the thesis trajectory to students and make the main phases, responsibilities and required actions visible.

You can apply this tool in your teaching in several concrete ways:

  • Trajectory overview - Use the relevant TMS record, phase overview or workflow status to discuss where the student is in the thesis trajectory, for example proposal, thesis design, draft submission, final version or assessment.

  • Milestone planning - Connect required TMS actions, such as submitting a proposal, uploading a draft or completing an approval step, to supervision meetings, so students understand what needs to be prepared before the next thesis phase.

  • Role clarity - Use the TMS workflow to clarify which actions belong to the student, supervisor, second assessor or programme administration, so students understand who is responsible for each step.

Tip 1

Explain the thesis workflow before students need to submit anything, so TMS does not become visible only at moments of pressure or assessment.

Tip 2

Use the same terminology in TMS, thesis guides and student communication, so students receive one consistent explanation of the thesis process.

Use TMS when you want to follow student progress during the thesis trajectory and connect the formal workflow to supervision activity.

You can apply this tool in your teaching in several concrete ways:

  • Progress monitoring - Use TMS records to check whether the student has completed the required action for the current thesis phase, for example a submission, approval or assessment-related step.

  • Follow-up tracking - After a supervision meeting, use the relevant TMS step as a reference for the agreed next action, so the student knows which document, approval or deadline comes next.

  • Early signalling - Use delayed submissions or incomplete records as prompts to contact students early and discuss what support or action is needed.

Tip 1

Before supervision meetings, use the student’s TMS status to identify one decision, document or next step that needs attention.

Tip 2

Do not rely on TMS as the only form of supervision communication. Use it to record and structure the process, and combine it with meetings, written feedback or course communication where needed.

Use TMS when you want to support a transparent thesis assessment process involving supervisors, assessors and programme administration.

You can apply this tool in your teaching in several concrete ways:

  • Assessment readiness - Before formal assessment starts, use TMS to check whether the final thesis version and required assessment documents are ready for the examiner workflow.

  • Second-assessor coordination - Use TMS to check which assessor action is required next, where the faculty or programme workflow includes a second assessor.

  • Assessment records - Use the relevant assessment fields, forms or records to document the final evaluation according to the programme procedure.

  • Post-assessment handover - After assessment, use TMS to confirm that the assessment record is complete for grade processing or graduation-related administration.

Tip 1

Before the final submission stage, share the assessment requirements, required documents and approval steps, so students know what needs to be complete before assessment can start.

Tip 2

Agree within the teaching team how TMS will be used for assessment records and second-assessor steps, for example who checks the final version, who completes which assessment field and how differences between first and second assessor records are handled.

Getting started

  • You can access TMS through the relevant EUR or faculty system environment. The exact workflow may differ by faculty, programme or thesis type. Please consult the TMS manual or thesis workflow instructions provided by your faculty or programme.

  • If available, you can also check the thesis pages in Canvas or the programme thesis handbook for information about deadlines, required documents and assessment procedures.

Support

  • In case of educational questions, please contact your thesis coordinator, programme coordinator or the learning innovator from your faculty.

  • In case of technical difficulty, please consult the relevant TMS manual or faculty support channel first. Because TMS workflows may differ between faculties and programmes, it is recommended to check local instructions before advising students about submission, assessment or graduation-related steps.
